This section defines how we document, communicate, and collaborate—so that the brand feels seamless from the inside out. The more organized we are behind the scenes, the more magic we can create in the studio!

We believe in documenting everything once, so that no one has to ask twice!
We use HubSpot and Acuity Scheduling as our core platforms for managing the student experience.
CRM (HubSpot):
Contacts, deals, consultation briefs, and student history are all stored in HubSpot
Each teacher is tagged to their students’ contact records for visibility
DO NOT make manual edits in HubSpot unless directed by leadership
If something looks off or missing, notify admin
Scheduling (Acuity):
Teachers are responsible for setting their weekly availability on Acuity
Students book directly into those available slots
Admin manages cancellations, reschedules, and onboarding flows

Clear communication = less confusion and more flow
You will discuss with your admin the preferred method of communication during your time as an Apprentice teacher.
In general, we expect the following:
General emails and notices should be reviewed and responded to within 24 hours
Urgent lesson/student matters should be texted immediately to admin
Do not message students outside of your designated lesson platforms or without permission

All student communication must be done via your assigned Singintuit business email address.
Admin must be CC’d on all student communication.
Teachers are not to use personal email addresses or phone numbers for student contact
Texting students is not permitted under any circumstances
This ensures all messaging is transparent, professional, and consistent with company standards.

To maintain alignment, we schedule regular meetings:
Team Check-In
Frequency: Monthly
Participants: All Staff
Purpose: Pulse check, celebrate wins, surface challenges, discussions related to teaching and/or method
Apprentice Coaching Meetings
Frequency: Every day or every other day, during training
Participants: Apprentice + Mentor
Purpose: Feedback, questions, discussion
1-on-1 Review
Frequency: Biannual
Participants: Teacher + Leadership
Purpose: Performance review, growth planning

We’re always evolving, and that means we want your input.
Teachers are encouraged to propose new tools or language for the Toolkit
Apprentice feedback is welcomed during training
Suggestions or issues can be shared with us at any time (via email, form, phone call, zoom, or text)

All student records, lesson recordings, and briefs are confidential
Do not share student work, video clips, or quotes externally without permission
Teachers are expected to maintain professional and emotionally safe boundaries
If any issues arise with a student, notify leadership immediately

All online lessons are conducted through Singintuit’s Zoom Organization, which teachers will be granted access to. Use of this official Zoom account is required for all lessons.
Recording Policy:
All Zoom lessons are recorded via the Singintuit Zoom account (this is by default in the org account)
These recordings are used for internal feedback, training, and quality control
They may be reviewed by mentors, leadership, or the apprentice teacher
Recordings are securely stored and are never shared externally without permission
Teachers should never disable recording under any circumstances
On-Camera Conduct:
Teachers must appear fully visible and professionally presented on camera
Begin and end sessions promptly. Early is on time, on time is late. We are NEVER late! We are always at the lesson AT LEAST 5 minutes before start time.
Lessons must be conducted in a quiet, private environment
No teaching from public spaces, vehicles, or while multitasking
Maintain an emotionally grounded and safe environment at all times
Appearance & Dress Code:
At Singintuit, every interaction is a reflection of our brand. While we don’t enforce a rigid uniform, we do expect teachers to present themselves with professionalism and approachability, whether on Zoom or in person.
Clean, neat and appropriate dress for a teaching environment
No offensive logos, wording, or fit of clothing
Please ensure the camera is at eye level, the lighting is soft and front-facing, and the plain backdrop is free of clutter
Zoom Lesson Tech Setup
Teachers are expected to maintain a high-quality virtual setup to ensure consistency, clarity, and professionalism. The following equipment is required for all Zoom-based lessons:
Laptop and/or desktop computer (Dual-screen monitor is optional but encouraged for multitasking)
External microphone with audio interface and appropriate connector cords
Mic stand (able to comfortable hold the microphone in position at the desk)
MIDI-capable electronic keyboard with appropriate USB/MIDI connectors
Lighting equipment (ring light or similar, positioned for soft, front-facing illumination)
Plain backdrop that is clean, neutral, and with minimal distractions
Desk with space to accommodate your full setup
Audio routing software:
GarageBand (or similar DAW) to route audio into Zoom
BlackHole 2ch (equivalent virtual audio driver) to connect mic/interface to Zoom
Zoom Tech Setup Checklist
Before every lesson, ensure the following steps are complete:
Zoom Organization Access
Make sure you are logged into to the correct Zoom organization before you begin your lesson.
Log in using the Singintuit Zoom Organization account credentials (email address and password)
Select the correct Zoom Meeting Room for your assigned student
Confirm your display name is professional and matches your teacher role (e.g. Emily—Singintuit)
Please use your first name ONLY on your Zoom name
HubSpot Integration Within Zoom
HubSpot is integrated directly into the zoom account, and should be matched to the correct Contact Record at the beginning of every lesson.
This ensures lesson activity is tracked and tied to the correct contact in the CRM.

Original Sound for Musicians
Please be sure to toggle “Original Sound: ON” at the beginning of every meeting (and please remind your student at the beginning of every session).
DAW + Audio Routing
Before every lesson, open your DAW with a live monitoring project
Select your external microphone input
Route output in DAW through your routing software
Set your routing software as the Microphone Input in Zoom (Zoom → Audio Settings → Microphone)
Test your setup before the student joins
Taking Notes
Please use the Notes app within Zoom for all student notes
At the end of each lesson, leave a note in the HubSpot Zoom App Comments section (brief overview of lesson, homework, and/or things to remember). This comment auto-syncs with their HubSpot profile for team visibility.
